Job Title: Part-Time Office Administrator

Position Description:

Primary Function of this Position:

The Office Administrator serves as support to the National Association for Lay Ministry (NALM) Board, fulfilling administrative needs in office functions as well as finance. He/she performs these efforts with technical and financial
expertise within a framework of shared ministry and Catholic values.

Reports to: Board Chair Type: Non-Exempt
 

Ministry of Administration
1.) Financial Responsibilities:

  • Maintains an accurate filing, recordkeeping and reporting system for financial matters;
  • Prepares monthly, quarterly, and year-end reports.
  • Collects, counts, records and deposits revenue from all sources.
  • Processes payments and forwards checks to Board Chair for signature.
  • Provides necessary information for annual audit.
     

2.) Administrative Responsibilities

  • Answers the office phone and assists members or directs calls to appropriate person.
  • Processes mail; sorts, responds or forwards to appropriate persons when necessary.
  • Monitors e-mail and replies or forwards messages.
  • Maintains membership records.
  • Supports Board and reminds appropriate board member of annual/monthly issues
    relating to payroll, insurance, online services, or professional membership renewals.
  • Maintains filing up-to-date. 
  • Attends/is available for board meetings.
  • Provides support for the Conference Committee by processing registrations, keynote
    and exhibitor information and conference site communication. 

3.) Other Responsibilities:

  • Coordinates and sends newsletter to members.
  • Processes new member applications and sends out new member packets.
  • Processes orders of books and other materials. 
  • Sends out membership renewal notices.
  • Maintains NALM website as needed.
  • Maintains confidentiality in all areas of responsibilities as required.

Skills, Knowledge, and/or Abilities:
1.) Financial Responsibilities

  • Knowledge of accounting and record keeping principles and practices.
  • Knowledge and ability in budgetary principles.
  • Ability to maintain accurate collection and deposit records.
  • Knowledge of QuickBooks and Excel.
     

2.) Administrative Responsibilities

  • Self-starter
  • Excellent written and verbal communication skills.
  • Working knowledge of computer operations and office equipment.
  • Ability to work with database
  • Knowledge of website maintenance.
  • Ability to work cooperatively with committees and other groups.
  • Knowledge of Microsoft Office and Google Docs.
     

3.) Other Responsibilities: 

  • Knowledge of NALM mission statement and ability to apply it to actual situations.
  • Knowledge of Catholic teaching and ability to apply it to actual situations.
  • Ability to maintain confidentiality.

Education, Training, and/or Experience:

  • College graduate or its equivalent preferred.
  • Computer skills and knowledge of accounting required.
  • Knowledge and understanding of the Catholic Church and its mission required.
  • Bilingual (English/Spanish) desired.
     

Working Environment
Part-Time (18-20 hours/ a week): must be in office three days a week on a regular schedule.
Occasional evening or weekend work may be required.
Minor lifting (20 lbs.) may be required.

 

Required Qualifications:

The National Association for Lay Ministry (NALM) is seeking a part-time office administrator to fulfill office and financial functions as support to the NALM Board. Candidate must be a self-starter with excellent communication skills, accounting expertise and a working knowledge of computer operations and office equipment. Applicants should be familiar with Microsoft Office (including Word and Excel), QuickBooks and Google Docs. Responsibilities will include answering the office phone, processing mail, updating membership records, maintaining the website, processing payments, and preparing financial reports.
